What to expect at the meeting

Submitted by Rebecca Tell

What’s going to happen at the Special Membership Meeting?  I have not been involved in much of the planning, but I know that there is a lot on the agenda.  The meeting is planned and managed by the petition group with logistical assistance from coop staff.  The planning team has been asked to keep things as calm and businesslike as possible, and they are doing their best to do that.

The big thing to know is that there is not going to be much time for discussion at all.  A lot of dialogue has been going on in advance of the meeting.  Those who have questions of the candidates are encouraged to contact us and/or come to the Meet the Candidates events – there is one more tomorrow at 4:30pm at St. Sophia’s.  But the way we will all be able to make our voices heard at the meeting itself is with our ballots.

Votes will not be counted until after the meeting.  Many people are worried about what will happen.  But I really hope we can do ourselves proud as a community tomorrow by treating each other with respect as we come together to vote.

I have a question. As stated in the meeting notice that I received:

“Guidelines for voting: Once a quorum is reached (no official business can be conducted until we have adequate representation of eligible voters) the meeting will be called to order. At that time, the voting will be called open, and the ballot boxes one per issue- will be prominently placed, identified, and monitored. Each issue on the agenda will be discussed separately, and when the vote is called, individuals will be required to place their ballots [one per person] in the appropriate box. When all ballots have been deposited in the box, voting will be closed for that issue. Discussion will ensue on remaining issues, and each item up for a vote will be closed in the same way”.

Does this mean that we will vote on item #2 on the agenda to retain/remove current board members & based on the outcome of that vote – move on to item #3 on the agenda? or cast our vote for both item #2 & item #3 at the same time?
My vote for new board members could depend on the outcome of the retain/remove vote.

Also – when all ballots are cast & voting is closed ?what happens if someone is late to the meeting and does not get there until after the voting has closed? will they not be allowed to vote?

    Thank You

thank you for your quick reply – sorry, but I would like a bit more clarification

“When all ballots have been deposited in the box, voting will be closed for that issue. Discussion will ensue on remaining issues, and each item up for a vote will be closed in the same way”.

I am reading this to mean that discussion on item #3 will follow when the voting is closed on item #2 & item #4 will not be discussed until after the voting for item #3 is closed.

So am I correct- that we will not know the outcome of the voting until tomorrow & I will need to vote for new board members without knowing the outcome of the remove/retain vote?
